How we use information we collect about you

To administer your account

We use the information we collect about you to administer your account and to customize the service we provide to you and others.

To connect Members and Sponsors

If you are a Member, we disclose your Personal Information to Sponsors with your consent. For example:

  • We send your information to Sponsors if you indicate that you want us to do so in the registration process.
  • If you apply to a job, the Sponsor who posted that job can view all your Personal Information that you entered in your profile and your My Account page.
  • If you send a message to a Sponsor, the Sponsor can see your name and email address.
  • Sponsors who purchase our Professional plan are also able to view your name and email address in search results and all Personal Information in your profile and My Account page, whether or not you apply for that Sponsor’s job posting(s).
  • In addition, we use Personal Information from your profile, such as name and work history, to populate and refine our search engine results. Sponsors can search and view your name and work history, whether or not you apply for that Sponsor’s job posting(s).

If you do not want Sponsors to whom you apply to see certain information about you, do not provide that information in your profile or My Account account. In addition, you may change your profile’s and My Account account’s visibility as described in the settings page to “Viewable by all employers,” “Hide from current employer,” or “Hide from all employers.” The last option will remove your information from any search results, but Sponsors to whom you apply will still be able to see your Personal Information.

Finally, regardless of what information you provide or your privacy settings, Sponsors to whom you apply, and those who purchase the Professional plan, will be able to see your name and email address.

If you are a Sponsor, Members and other Sponsors are able to view your Sponsor Information, with the exception of your purchase history and information we collect about you through cookies and similar technologies. We also use your Sponsor Information to populate and refine our search engine results. Your Sponsor Information is searchable.

Please note that when you send an invitation to connect to another Member, that Member will then have access to your email address because it is displayed in the invitation. The Members with whom you will connect at My Account will also have access to your email address. You may not invite anyone to connect with you at My Account whom you do not know and trust. Information entered into Contacts is only viewable by you and us. All information that you enter or upload about your contacts will be covered by the Terms of Use and this Privacy Policy and will enable us to provide customized services such as suggesting people to connect with on our Website.

You may also share content from our website, such as posts and articles, with other users and non-members or on social media. To share information with non-members, you must provide the non-members’ email address and you represent that you have authority to do so. To share information on social media through a social media widget on our Website, we receive your authentication information (see the “Social media and similar widgets” section below).

We take your privacy very seriously. We disclose your Personal or Sponsor Information to third parties in limited circumstances only. We may:

  • Disclose your Personal or Sponsor Information to companies and individuals who perform duties on our behalf, such as website hosting, marketing, and customer service companies. While these companies may have access to your Personal or Sponsor Information to perform their jobs, they are prohibited from sharing your Personal or Sponsor information with any other individual or company.
  • Send your Personal or Sponsor Information to our Sponsors if you indicate that you want to receive offers and promotions from them. If you decide to share your contact information in this manner, you will be provided with instructions regarding how to opt out of sharing your contact information if you decide you no longer wish to do so.
  • Disclose and transfer your Personal or Sponsor Information to a third party that acquires all or a substantial portion of our business, whether by way of merger, consolidation, or purchase of all or a substantial portion of our assets. In addition, in the unlikely event that we become the subject of a voluntary or involuntary bankruptcy proceeding, we or our trustee in bankruptcy may sell, license or otherwise dispose of your Personal or Sponsor Information in a transaction approved by a bankruptcy court. If all or a substantial portion of our business is sold, you will be notified by email or a notice posted on the Website.
  • Release Personal or Sponsor Information to third parties to comply with valid legal requirements such as a law, regulation, search warrant, subpoena, or court order. We also may release Personal Information to prevent a crime; for national security purposes; to protect our rights and property; or to protect the personal safety of our Members, Sponsors, or the public.

Many communications Members initiate through our Website (e.g., an invitation sent to a non-Member or an email to a Sponsor) will list the Member’s primary email address and name in the header of the message. Other communications that Members initiate through our Website, like a request for an introduction, will list the Member’s name as the initiator but will not include an email address or other contact information. Members’ contact information will be shared with another Member only if both have indicated that they would like to establish contact with each other.

Please note that any information and material you post or disclose on message boards, forums, online chat programs, profile pages, and blogs will become public information and may be available to users and to the general public. We urge you to be very careful when deciding to disclose your Personal Information, Sponsor Information, or any other information online. In addition, you may change your profile’s visibility as described in the settings page.

In addition, we may use information that does not allow you to be identified (“Aggregate Information”) to better design our Website and to share with our advertisers. For example, we may tell an advertiser or potential advertiser that a certain number of individuals visited a certain area on our Website. We also might share Aggregate Information regarding the overall demographics of the users of our Website, such as their age, sex, or occupation. Depending on the circumstances, we may or may not charge advertisers for this information. We may use Aggregate Information to produce analytics and reports on website usage, or in press releases about aggregate trends.

Notwithstanding anything else herein, we may partner with third party advertisers. See the “Cookies and similar technologies” section below for more information.

Polls, surveys, and competitions on our Website

If you choose to participate in a poll or survey on our website, some third parties may target advertisements to you on the results page based on your answers in the poll. Further, we or our Sponsors may follow up with you via email in your My Account account regarding your participation unless you have opted out of receiving such email messages.

We may use third parties to deliver incentives to you to participate in surveys or polls. If the delivery of incentives requires your contact information, you may be asked to provide Personal Information to the third party fulfilling the incentive offer, which will only be used to deliver incentives and/or verify your contact information. It is up to you whether you provide this information, or whether you desire to take advantage of an incentive.

We will not disclose any Personal or Sponsor Information to any third parties in connection with the conduct of any polls or surveys. Your consent to use any Personal Information for the purposes set forth in the poll or survey will be explicitly requested by the party conducting it. You may opt out of participating in surveys by changing your settings to stop receiving these inquiries and requests.

In addition, we may conduct competitions among users of our site. If you decide to participate, your name and the information you provide may be made available to users and the general public.

Web analytics service

Our Website is hosted on WordPress. We use Jetpack, an analytics service provided by WordPress, to help improve usability and the customer experience of our website. These systems may record data like mouse clicks, mouse movements, and scrolling activity for us. They may also record keystroke information that you voluntarily enter on this website for us. These systems do not track this activity on any site that does not use their system.  For more information on Jetpack, please visit https://wordpress.org/plugins/jetpack/. For WordPress’s privacy policy, please visit https://wordpress.org/about/privacy/.

Cookies and similar technologies

A cookie is a bit of electronic data containing information about the user that is stored on a user’s hard drive, mobile phone, or other device. Cookies can save time, as they can store information such as a user’s login so that the same information does not have to be entered on subsequent visits to the same website. They can also track website usage trends and other information.

We use both “session” and “persistent” cookies. Session cookies operate from the time you visit our website to the end of that particular web browsing session. These cookies expire and are automatically deleted when you close your internet browser. Persistent cookies will stay on your device between browsing sessions; they do not expire when you close your browser. The length of time a persistent cookie stays on your device varies from cookie to cookie.

Through our use of cookies, we may collect:

  • The URL of the site from which you came and the site to which you are going when you leave our Website;
  • The IP address of the computer you are using (or the proxy server you use to access our Website);
  • Your computer or mobile device operating system and type of web browser you are using; and
  • The name of your internet service provider or your mobile carrier.

We use cookies and web log files to track your Website usage and trends, to improve the quality of our service, to customize your experience on our Website, and to deliver third-party advertising to users both on and off our Website. We also use cookies to keep track of your shopping cart information.

Our Website may also contain very small, transparent, electronic images called “Web Beacons” that allow us to count Members who have visited the Website pages on which they are located. Web Beacons are not used to access your Personal Information, but rather are a method for us to assemble aggregated statistics about the usage of our Website. Cookies and Web Beacons also allow us to identify your browser, operating system, Internet Service Provider, and other technical information. While you cannot decline Web Beacons, you can decline all cookies, as described below, and therefore render the Web Beacons ineffective.

You can block most cookies by activating the setting on your browser that allows you to refuse the setting of all or some cookies. However, if you use your browser settings to block all cookies (including essential cookies), you may not be able to access all or parts of our website. In addition, if you have previously visited our website, you may have to delete any existing cookies from your browser. Please keep in mind too that you need to refuse cookies on all of your browsers for all of your devices. For more information on cookies, please visit: www.allaboutcookies.org.

In addition, we may partner with third-party advertisers who may (themselves or through their partners) place or recognize a unique cookie on your browser. These cookies enable more customized ads (i.e., interest-based ads); content; or services to be provided to you. To trigger these cookies, we may pass an encrypted or “hashed” (non-human readable) identifier corresponding to your email address to a Web advertising partner, who may place a cookie on your computer. No Personally Identifiable Information is on, or is connected to, these cookies.

We or a data partner may also collect and store a unique identifier matched to your mobile device to deliver interest-based ads or content while you use applications or surf the mobile web. To customize these ads or content, we or a data partner may connect anonymous demographic or other information about you (received from third parties) either to information you voluntarily have submitted to us, e.g., your email address, or to information passively collected from you, such as your device identifier or IP address. However, we will share your email address solely in hashed, non-human readable form.

To opt out of interest-based advertising, follow the instructions below. Please note that the opt-out will apply only to the specific browser or device from which you opt out, and therefore, you will need to opt out separately on all of your browsers for all of your devices. If you delete or reset your cookies or mobile identifiers, change browsers, or use a different device, any opt-out cookie or tool may no longer work and you will have to opt out again. For a more persistent opt-out tool, please use the Digital Advertising Alliance’s “Protect my Choices” tool at http://www.aboutads.info/PMC. Please note also that this does not opt you out of being served generic ads.

  • Web Browser Opt-Out. To opt out in web browsers, please visit:
  • Mobile Application Opt-Out. To opt out in mobile apps, please download the Digital Advertising Alliance’s AppChoices tool for interest-based advertising at aboutads.info/appchoices and adjust your advertising preferences on your mobile device. For example:
    • To adjust your advertising preferences in iOS, visit Settings > Privacy > Advertising > Limit Ad Tracking.
    • To adjust your advertising preferences in Android, visit Settings > Google > Ads > Opt out of interest-based ads.

Do Not Track

There are different ways you can prevent tracking of some of your online activity. One of them is by setting a preference in your browser that alerts websites you visit that you do not want them to collect certain information about you. This is referred to as a Do-Not-Track (“DNT”) signal.

Please note that our website does not currently recognize or take action in response to DNT and similar signals from browsers.

Other websites

Our Website contains links to other websites that may be of interest to you. We do not have control over these websites, however, and therefore are not responsible for their privacy policies or practices. Please make sure to review the privacy policies of these websites so that you will be familiar with them.

Social media and similar widgets

Our website includes social media features, such as LinkedIn, Twitter, Instagram, and Facebook buttons that run on our site. These features may collect your IP address and which page you are visiting on our websites, and may set cookies to enable the feature to work properly. Social media features and widgets are either hosted by a third party or hosted directly on our site. We are not responsible for their privacy policies or practices. Your interactions with these features are governed by the privacy policy of the social media sites providing them.

In addition, if you choose to use a social media widget, or use your login credential from a site like Facebook, Google, or LinkedIn to join our site, we receive authentication details.

How we protect the information about you

The information that we collect from you may be transferred to, processed at, and stored in the USA or any location where our subsidiaries, affiliates, or service providers maintain facilities. By submitting your Personal or Sponsor Information, you hereby consent and agree to this transfer, storing, or processing.

We will take those steps reasonably necessary to ensure that your information is treated securely and in accordance with this Privacy Policy and the requirements of applicable law wherever the information is located. In order to safeguard your information, we have implemented appropriate physical, technical, and organizational measures. We keep your Personal or Sponsor Information on a central database on a secured network in the United States that can be accessed only by a limited number of persons who are required to keep such information confidential. We audit our network regularly for possible vulnerabilities and attacks.

Although we have made reasonable efforts to safeguard the confidentiality of your Personal or Sponsor Information, we cannot promise, and you should not expect, that your Personal or Sponsor Information will always stay private. There is no guarantee that information may not be accessed, disclosed, altered, or destroyed by breach of any of our physical, technical, or managerial safeguards. We also cannot guarantee that unauthorized third parties will never be able to circumvent our security measures and obtain access to your Personal or Sponsor Information and use it for improper purposes. As a user of the Website, you agree that you assume all risks regarding your use of the Website, transmissions made over the Internet generally, and your sharing of your Personal or Sponsor Information.

You are responsible, however, for taking all reasonable steps to ensure that no unauthorized person has access to your password. It is your sole responsibility (1) to control the dissemination and use of your password; (2) to authorize, monitor and control access to your password; and (3) to promptly notify us of any need to deactivate your login, or to change your password.

Also, please note that emails, instant messaging, and similar means of communication with other Members of our Website are not encrypted, and we strongly advise you not to communicate any confidential information through these means.

Provisions applicable to California residents only

If you are a California resident, you have a right to request certain information with respect to the types of personal information we have shared with third parties for their direct marketing purposes, and the identities of those third parties, within the immediately preceding calendar year, subject to certain exceptions. All requests for such information must be sent to info@TradeHounds.com.

This same California law permits us to provide you, in response to your written request, with a cost-free means to choose not to have your information shared rather than providing the above described information. To that end, you may request that we do not disclose your personal information to unaffiliated third parties for their own direct marketing purposes by contacting us by email at info@TradeHounds.com.

If you are a California resident under 18 years of age and a registered user of our services, you may request that we remove content and information that you post on our services. To obtain removal of such content and information, please send us an email to info@TradeHounds.com with a short description of the content or information you would like to have removed. Please note that such a request does not necessarily ensure complete or comprehensive removal of content posted by you, since the content and information may remain in our databases, may remain visible in a manner that does not identify you, or may have been re-posted by another user.

Provisions applicable to citizens of the European Economic Area only

You have the right (we suggest by using the contact details below), to request, in accordance with data protection laws: access to, rectification, and erasure of your Personal or Sponsor Information; restriction of processing of Personal or Sponsor information; objecting to certain processing of Personal or Sponsor information; and a right to data portability. We may withhold information where the search for that information would require disproportionate effort or have a disproportionate effect due to, for example, the cost of providing the information, the time it would take to retrieve the information, or how difficult it may be to obtain the data requested.

Where any processing of personal information is solely dependent upon your consent, such as marketing to you, you have the right to withdraw such consent at any time (we suggest by using the contact details below).

Where you believe that we have not processed your Personal or Sponsor information in accordance with the applicable data protection laws, you may lodge a complaint with the respective supervisory authority/data protection regulator.

The provision of Personal or Sponsor Information by you will be for contractual, marketing, or analytical purposes as referred to above. If we do not have access to such Personal or Sponsor Information from you, then we will not be able to undertake the above types of services for you.

How you can access, correct, or delete your Personal or Sponsor Information

We are committed to providing you reasonable and practical access to your Personal or Sponsor Information to determine if it is accurate. You may review the Personal or Sponsor Information that we have collected from you by logging in, and clicking “Edit Profile.” If you would like a hard copy of the Personal or Sponsor Information that we have collected from you, you may contact us at info@TradeHounds.com. To protect your privacy and security, we will also take reasonable steps to verify your identity before sending your Personal or Sponsor Information or making corrections to it. Please be aware that even after you edit your information, we may, for up to a year, retain residual copies of that information, such as posts and comments you have made, profile information, My Account information, purchases, pictures and videos, documents, and access logs, and other information contributed by you in our backup and/or archival copies of our database.

We encourage you to review your account Candidate Profile or Company Profile settings and adjust them according to your preferences.

If you decide to delete your account with us, let us know by contacting us at info@TradeHounds.com. We will remove your name and other information that you have provided to us from our publicly viewable database. We might not delete information we have received about you from other sources. If you delete your account, we have no obligation to retain your information, and may delete any or all of your information without liability. However, we may retain certain residual information, such as anonymized posts and comments you have made, profile information, My Account information, pictures and videos, documents, and access logs, or other information contributed by you if we believe it may be necessary to prevent fraud or future abuse, or for legitimate business purposes, such as analysis of aggregated, non-personally identifiable data, account recovery, or if required by law. We may also retain and use your information if necessary to provide our Website services to other Members. For example, just as an email you may send to another person through an email service provider resides in that person’s inbox even after you delete it from your sent files or close your account, messages you send via the My Account portion of our Website to others, as well as your contributions to Trade Hounds discussion groups, comments, blog posts, and similar contributions, may remain visible to others after you have closed your account. Similarly, other information you have shared with others, or that other Members have copied, may also remain visible. We disclaim any liability in relation to the deletion or retention (subject to the terms herein) of information or any obligation not to delete the information. We do not control when search engines update their caches, which may contain certain public profile information that has since been removed from our publicly viewable database.

If we learn that a Member is deceased, we may close such Member’s account. In those cases we may restrict profile access, remove messaging functionality, and close an account if we receive a formal request from the Member’s next of kin or other proper legal request to do so.

Your obligations to us and to other Members

As a Member, you have certain obligations to other Members. Those obligations include the following:

  • You must, at all times, abide by the terms and conditions of the Privacy Policy and Terms of Use. This includes respecting all intellectual property rights that may belong to third parties.
  • You must keep your username and password confidential and not share it with others.
  • You may not use our Website to spam, abuse, or harass others.
  • Any violation of these guidelines may lead to the restriction, suspension, or termination of your account at our sole discretion.

How we announce changes to our Privacy Policy

We reserve the right to revise or modify this Privacy Policy. If we do, we will post a prominent notice on our website prior to the change becoming effective. We may also send you an email. If the changes would have the effect of introducing a new type of data collection, a new purpose for the use of your Personal or Sponsor Information that is inconsistent with this Privacy Policy, or a new disclosure of your Personal or Sponsor Information, and where required by applicable law, we will use commercially reasonable efforts to either notify you or provide you with an opportunity to opt-out from us making such use.
